Notes From the Messy Side
If you're the person who gets called into a meeting because the new hospital bed arrived without the right rails, this is for you. I manage equipment ordering for a long-term care and home health company — roughly $900,000 a year across about a dozen vendors. A lot of those orders are Invacare products: electric hospital beds, manual wheelchair parts, oxygen concentrators, and patient lifts. Some are imaging equipment. All of them go through the same checklist.
Who This Checklist Is For
You're probably an administrator, procurement coordinator, or facility manager at a hospital, rehab center, nursing home, or outpatient clinic. You're not the clinician operating the device, but you're the one signing the PO. This checklist helps you confirm the device will actually work in your building, with your people, and under your state's rules.
I've been doing this since 2020, and in that time I've made enough mistakes to need a system. The 7 steps below take about 40 minutes the first time. After that, they take less.
The 7-Step Checklist
Step 1: Confirm the actual use case before you look at models
Don't start with 'we need an Invacare electric hospital bed.' Start with 'we need a bed that adjusts for a bariatric patient who needs to be turned regularly.' Those are different orders. The first one gets you a generic bed. The second one gets you a bed with the right width, weight capacity, and mattress replacement system.
Same with imaging. If someone asks for 'a medical imaging system,' you need to ask what it's for. An intraoral scanner used for crown design has different software and resolution needs than a CBCT unit. And a C-arm ... let's get this out of the way. How does a C-arm work? It's basically an X-ray source and a detector mounted on opposite ends of a C-shaped arm. You move the arm around the patient to get real-time images. The question is not 'do we need a C-arm?' It's 'what procedures will we use it for?' That determines image intensifier size, monitor resolution, table requirements, and radiation safety considerations.
Step 2: Check the regulatory box early
Medical equipment isn't office furniture. For FDA-cleared devices, ask for the 510(k) number or product code before you go too far. If a vendor can't or won't provide it, that's a red flag. According to CMS, a face-to-face encounter is required before Medicare will cover many durable medical devices, so you'll want to confirm the order paperwork is in line too. Verify current requirements at cms.gov or fda.gov. This was accurate as of early 2025, and those policies change.
Step 3: Build your own spec sheet and make the vendor fill it in
Don't rely on the supplier's one-line description. Build a simple table with the specs that matter. For an Invacare electric hospital bed: width, length, weight limit, number of sections, rail type, motor voltage, and back-up battery. For manual Invacare wheelchair parts: part numbers, compatibility with the exact chair model, and whether it's original or aftermarket.
The polite way to do this is to send the vendor a blank spec sheet and say, 'Please confirm these are the specifications for the item you're quoting.' If they push back or say 'it should be fine,' that's useful information too.
Step 4: Ask the 'how does this break' question
People sometimes assume a higher price means better quality. I think it's the other way around: suppliers who can document reliability and support are the ones who can charge more. So ask about failure rates, service intervals, and repair costs before you buy.
For an electric hospital bed, ask about the actuator cycle rating. For a mobility device, ask about battery cycle life and whether replacement batteries are available. For a manual wheelchair, ask which parts wear out first and how long it takes to get them. That last one matters more than you'd think — a $20 manual Invacare wheelchair part can ground a $1,500 chair for weeks if the vendor doesn't stock it.
Step 5: Plan for installation, training, and spare parts before the PO
Most procurement disasters happen after delivery. Before you sign, make sure someone has answered these:
- Where will the equipment be staged? Is there enough room to uncrate it?
- What electrical and IT requirements does it need? C-arms and imaging systems often need dedicated circuits or network ports.
- Who trains the staff? Is training included or extra?
- How do you order replacement parts? Is there a service contract? What's the typical response time?
- For an intraoral scanner, is the software subscription included in the quoted price, or is that a separate annual fee?
When I ordered our first intraoral scanner, I didn't ask about the software license. The hardware was fine, but the software cost us an extra $4,000 in the first year. That's on me. It's on you if you skip this step.
Step 6: Put acceptance criteria in writing
Define what 'delivered and accepted' means before the equipment arrives. Here's a quick version:
- Unit powers on and passes a self-test.
- Accessories on the packing list are all present and match the part numbers.
- Castors, brakes, and rails operate correctly.
- For imaging systems, a test image meets the manufacturer's baseline.
- Training is complete and staff have signed off.
I didn't have a formal process for this the first time we bought replacement beds. The third time a delivery arrived with the wrong mattress deck, I made a checklist. You're reading the updated version.
Step 7: Verify part compatibility and supply chain before you place the order
This is the step most people skip. The product page says 'Invacare electric hospital bed' and you assume it's the same model you bought last year. It might not be. Manufacturers update part numbers and quietly change components. Check the manufacturer's current spec sheet and confirm the production date isn't old stock being cleared out.
For manual Invacare wheelchair parts, don't trust 'this will fit.' Ask for the part numbers and a compatibility chart. There are enough variations between frame sizes, wheel types, and brake configurations that 'should fit' becomes 'doesn't fit' more often than any of us want to admit.
For a medical imaging system, this step is even more serious. A used C-arm might be priced well, but if the replacement detector is obsolete and the manufacturer doesn't support it, you're buying a very large liability.
Notes From the Messy Side
Some things that don't fit neatly in the checklist but are worth saying:
- Buy the minimum feature set that meets the clinical need. It is not helpful to buy a bed with features nobody uses.
- Build in a post-delivery review. Thirty days after installation, ask the clinical team if the device actually works for them.
- Get your finance team involved before you ask for quotes, not after. They have vendor requirements you don't know about.
- Don't assume one brand covers every category. Invacare is strong in long-term care and rehab, but 'Invacare' doesn't automatically mean every model is right for your patients.
I'll also be upfront about my limits. My experience is mostly with long-term care and outpatient clinic equipment. If you're buying capital equipment for a trauma center or a pediatric hospital, your engineering, infection control, and IT teams will need to add more. And this checklist is based on what I knew as of early 2025. Regulations change, product lines change, and vendors change. Verify current requirements with the manufacturer and the relevant agencies before you commit.
5 minutes of verification beats 5 days of correction.
Bottom line: Equipment buying is not hard if you're willing to look a little boring. Check the use case, check the paperwork, check the specs, check the support plan, check the delivery, and check the part numbers. Then you can write the PO and move on to the next fire.
